Position Description:
Prime Function:

  • Responsible for planning, organization, and direction of the organization’s operations and administrative functions necessary to the day-to-day functioning of the organization.
  • To support the Board of Directors to ensure the smooth running of the organization and its programs.
  • To be aware of, understand, and have knowledge of the diversity of the population of AADD and its special needs.

Main Objectives:

  • To ensure that the organization raises the funds necessary to provide services to its members and their families, run its programs, and support the office and the programs & administrative staff.
  • To ensure that all funds raised are managed efficiently and accounted for appropriately.
  • To ensure information regarding members, families, donors, and others is managed effectively and efficiently.
  • To ensure that there is effective communication between the office and members, their families, external staff, and the Board of Directors.
  • To develop ideas that will enhance the programs of the organization and to develop the funds needed to support those programs.
  • To supervise the programming, administrative, and other staff members and volunteers in providing effective programming to members and their families 

Specific Requirements and Preferences:

Key Tasks:

  • Develop relationships with key people and organizations to enhance the ability to raise funds for its programs, and services to members and their families, including grant development.
  • Supervise all clerical and administrative tasks related to the agency’s functions.
  • Supervise data entry & report preparation using DonorPerfect and Quickbooks.
  • Supervise bookkeeping tasks related to banking, online donations, and financial management with some direction from the Board President & Treasurer.
  • Supervise all correspondence with Board, donors, and others; agendas, minutes, etc. from the organization and its committees, billing, invoices, etc.
  • Report to the Board of Directors and implement the annual goals set by the Board.

Key Knowledge:

  • Knowledge and direct experience in fundraising, grant writing, and other development tasks.
  • Ability to design and manage a budget and handle the organization’s bank accounts and accounts payable and receivable.
  • Ability to communicate both in writing and in face-to-face meetings with key donors, members, and their families as well as the Board.
  • Ability to manage time and manage staff and structure the environment to enable the staff to successfully perform their jobs. Responsibility for hiring staff as needed and for holding them accountable to perform the jobs for which they were hired.
  • Knowledge of Microsoft Office Suite (word, excel, outlook) and Zoom.
  • Ability to learn basic elements of DonorPerfect and Quickbooks Pro.

Education & Experience:

  • Bachelor’s Degree in Finance, Accounting, Social Work, Education, or Management preferred.
  • 10 or more years of non-profit management experience in an operational environment.
  • 5 or more years of management or supervisory experience directly.
  • Able to work nights and weekends as needed.

The mission of Association for Adults with Developmental Disabilities (AADD) is to provide education, discussion, and social learning activities that empower men and women, 18 years and older, with developmental disabilities to maximize their independence and life quality while supporting caregivers and increasing community inclusion. AADD’s programs develop independent living and self-determination skills as well as create opportunities for adults with developmental disabilities to develop a network of friends and mentors.
